a note to producers about the lighting cue sheet

I've had multiple conversations with worship arts directors in the past few months where I've shared some of my thoughts on this subject. As a designer and live production artist, my personal preference loves to create "live," "Spirit led," and "in the moment." I usually do at least some amount of live busking when I operate; some shows more than others. For theatrical productions that repeat a linear story multiple shows I live in a single fully mapped timeline; a worship concert I am almost fully live. Regardless, I always have a road map sketched out (at least in napkin sketch format - see image below) if not fully built in Excel (see other image below) in some format or another. Even if I audible live, at least I'm making a change from something.

Anyway, the thoughts here were built from a copy/pasted note to one of the artistic producers I was consulting with recently. The thread had included his question of if a cue-to-cue would be something I'd recommend to their process. My answer to these questions are about finding best practices for being one in vision and trusting each other to bring the best thing we each can do to create a moving experience.

A cue-to-cue might prove to be beneficial to your process and your product. However, remember that without the context of the live music being played and the musicians on stage in their light, it’s very difficult for someone besides an experienced lighting designer to accurately know how to interpret what they see. I’ve experienced numerous cue-to-cues with producers where they make changes to what the LD designed and then later they ask for follow up changes during the dress rehearsal that end up very close to what was originally created. If doing a cue-to-cue, make sure you know what you're reviewing.

I suggest what is more beneficial is to spend the time making sure that you’re clear in the vision that you have for each moment of the service. Communicate that to the SM and LD. If they understand your vision, they’ll support/enhance the moment visually. Again, a cue-to-cue walk-through isn’t bad - the dialogue to check in and make sure you’re on the same page is really important. Simply heed my caution to not to make changes out of context. Make sense?

The greater importance is trusting each other to all be on the same page. Have you communicated vision for the story clearly? Does your LD have a plan for how to support and enhance? I suggest a meeting to talk through a cue sheet is the better use of everyone's energy. After knowing that you're on the same page, then you can each work on the tasks that you're best at.

Unless you see a specific vision for mapping out the details of an element, I don’t recommend going into detail of builds and changes in each song. Aside from the potential build (referenced with an ellipse) it simply shows the base cue guide for each moment. Feel in the room can and should lead to adjustment in each nuanced moment. Trust the LD to design beauty and magic that supports and enhances the experience.

At Kensington, we use Planning Center Online as our hub for every production we do. It’s great for scheduling teams and making sure that everyone is on the same page. I can give coaching in another post about how I suggest it might be a useful platform to incorporate into your process. Anyway, it’s a very useful tool for us in laying out the flow of elements in a service. As a PM, I love being able to think through what each discipline (Audio, Lighting, Multimedia, etc.) needs to be doing at each moment of the service.

In each cue the notes in the lighting column give the road map for what lights will be doing in the format of:
"SUBJECT LIGHT | SCENIC LIGHT | HOUSE LIGHT"
Subject - the communicators and artists on stage
Scenic - everything behind and around the people - soft goods, lights through haze, etc.
House - as simple as basic intensity, but often can include environmental lighting

As an LD, I map out the visual story pretty intentionally. Sometimes a show calls for a fully detailed cue sheet with specific intensities and focus patterns for each instrument along with fade times for each transition. A cue sheet can also be as simple as a napkin sketch. Having these notes shared with the Stage Manager is really important as they're the hub for helping everyone stay true to common vision. Again, I suggest using PCO (or another cloud based service) to make sure everyone can stay updated with any changes along the way...

My Production Design Algorithm

A stream of thought listing things I consider with every design:
  • Context of organization
  • Context of event
  • What are the "budget" parameters?
  • Who is on stage?
    • who’s the main speaker?
    • who’s the performing artists?
    • play to their style
  • Theme of the day… Is it part of a broader series?
  • Branding...How do the visuals identify with the mission? Achieve continuity with the rest of communication
  • What are my resources? Existing materials? Budget for new? I suppose I ought to ask about rental budget (I’m rarely a fan of such...I’d rather use that budget to add to ongoing inventory?)
  • What is the rep plot? How do we play to the strengths of the lighting system? A good rep plot is arguably the most important asset to your venue. Certainly, right up there with a good PA. The good news is that that it costs way less...
  • What are video requirements?
    • IMAG?
    • broadcast?
    • camera positions?
  • What are audio’s needs? What will help them succeed?
  • Who is the producer? What are their visual preferences? What "lens" is the story told?
  • Who is in the lighting chair? Help play to their strengths...
  • What is the timeline for setup? for strike? Is it a stage turn situation? If so, what is the design that precedes and follows? How do you design in the timeline of multiple turns?
    • Hang the rig points 2 weeks out; hang the truss 1.5 weeks out; hang the lights 1 week out and use as backlight for the Midweek stage. Finally, hang hard goods and refocus lights in the turn for the target event; then hang a screen and soft goods from the same truss in an upcoming design.
  • What are transportation and storage logistical considerations?
  • Who is the crew? What are their strengths and experiences? Artists vs. engineers
  • Materials – What materials have been used recently? What materials will the upcoming holiday be using? Use something different than either of these.
  • Mood – Honestly more important than materials is the mood. It’s possible to create multiple moods with the same materials. That’s what we do in a series: I brand a series with a palette of materials, and then craft the set for each day to support the unique story of that specific event...
  • Inspiration – What is inspiring me recently?
    • Architecture
    • Nature
    • Window displays
    • Trade magazines
    • Cinema
    • Renaissance paintings
    • Industrial dumpster
    • Pinterest
  • What's an archived idea that I might finally have the chance to try?
    • Evernote
      • Anything that inspires me tends to end up in Evernote
      • I use tags such as "design ideas"
  • I hate copying (plagiarism) and go to great lengths to make sure my art is authenticity mine. However, I think being inspired by other designers is completely appropriate.
    • There's virtue in both, however my personal value is "Creation > Curation"
  • Who can you connect with to bounce ideas off of one another? #ctln
  • Passion – I want people to pull their phones out. I take pride in my discipline – the pursuit of creating something beautiful. A design certainly should look good – Visual interest, shapes, patterns, textures, Layers, Depth behind every camera angle, etc. However I suggest there are transcendent considerations that can be woven into the scene – metaphor, symbols, numerology, etc. – Hide "Easter eggs" – it's fun and it will inspire someone, I promise. Break the 4th wall – immerse them in the story – target people’s subconscious

Danny Cox Album Release Concert

It was such a privilege to be part of this event! My friend Danny released his recent album "Fighting for the Beauty" last night. I was honored to be asked to be Production Designer for it.

I reprised some of my favorite ingredients for this show:
  • Persian Rugs (various sizes and colors from (5’x7.5' all the way to 12’x23')
  • Gothic Chandeliers (custom made for Easter’15)
  • Gothic Lanterns (custom made for Easter’15) on the floor and atop our Iron Candle Stands (custom made many years ago for a Good Friday)
  • ADJ Z7s (LED zoom mover - I love the value of these instruments) atop our custom moving light cages (ask me about these cages sometime)
  • Black Tergalet and Silver Batiste (Rosebrand)
  • Elation 300s (profile mover) and 60s (LED wash mover)
  • And a very generous demo (thank you Advanced Lighting & Sound) of some ADJ beams

Thoughts to Remember When Creating a Space for Worship

I rattled off a stream of thought in response to my friend asking me what things I think about when designing. He took that email and compiled it into this list; which his organization now uses this as part of their planing meetings. Perhaps it is a helpful guide for you to consider as well...


Thoughts to Remember When Creating a Space for Worship

  • The end goal of the services that happens in the space.
  • The vibe/feeling you want to help communicate.
  • Who is the target demographic?
  • Who in the audience will be reached regardless of the branding, environment, and artistry? These are not people to design for. Do not be influenced by them.
  • Who might only be opened up to the communication by the environment you present? This is who you must go after.
  • How might you use resources you already have available to support your vision?
  • What alternative ideas might convey such themes with increased beauty/power/depth?
  • What ideas might work well because of how clear the symbolism might be?
  • What of those ideas would be so cliché that it would actually turn off the artist in the audience?
  • What metaphors can you weave into the design to add depth of beauty (and meaning) ...even if only for you?
  • How long do you want to live in the look? A series? A season? A weekend? Indefinitely?
  • How will you light the set? How will you light the art and communication? Will the lighting on both feel unified?
  • Make sure to design scenic elements that will be enhanced with the lighting tools available. Also, design scenic with consideration of who is designing/operating lights. Try to play to their strengths.
  • It needs to look good in the room, to be certain. Are you broadcasting ever - stream, IMAG, record for later release?
  • Lighting for video requires thinking beyond what looks good to the naked eye; and lighting for both video and still having everything look good in the room requires some real finesse…
  • Think through positioning of each person who will be on stage. Where they stand/sit/dance should feel like it connects with the scenic elements and help visually connect the guests with the communication on stage. Break the 4th wall.
  • What scenic and/or lighting might be considered in the room? In the lobby? Before and after the event with advertising, social media, etc. How does the branding transcend the stage experience?
  • Think through everything that people might see. Certainly do not let anything be a distraction; also push into every opportunity to help enhance the story...

Unconscious competency and the gift of sharing in relationship

A couple years ago I was introduced to a talented young man at a conference. Like a lot of us in this community, Don wears many hats in his responsibilities preparing for and supporting weekend services at his church. He’s a bit of a jack-of-all-trades and has a particular aptitude and curiosity for creating beauty and helping communicate through the discipline of scenic design. This I’m sure is a big part of why we were connected. Anyway, it has been great to get to know him as we get together for coffee a few times per year. In spite of being in significantly different life stages, our conversation always flows beautifully and is rich in mutual encouragement. Not only does neither of us like to settle for a mediocre cup of coffee; but we segue that thought into dialogue of our passion for preparing a quality storytelling environment for our guests.

During one of our meetings, we were discussing everything that goes into a stage design. The next day, Don emailed to ask me if I wouldn’t mind typing some of the things out so he could chew on them further. I sent him a stream of thoughts that covered what I remembered us musing about along with a few other ideas to consider... The next time we got together, he shared the document that his leadership team uses as a guide every time they plan an event. He had reworked my thoughts into a list and he was excited to share with me stories of the fruit of our coffee meetings.

I was humbled and honored to have been useful. I hadn’t really thought about it since sending the email. For him to have taken the time to separate them into bullet points and create a document from them that was used as it was really struck me. We all want to be helpful. I think that is perhaps the most common trait of production artists. Yes, we’re all a bit geeky, but mostly we want to help people. It was a real gift to me for him to thank me in the way he did.

However, I realize the greater challenge comes in at least one of the following:

Realize the genius you have to offer someone else and share it. I think that far too often, we fail to realize the unconscious competency we have in our unique areas of expertise. Especially those among us who have been working in our craft for a long time have wisdom to share in how to we make the most of our situations. It is a crime to not share the ideas we have. These "simple" ideas will likely be a profound blessing.

I encourage you to seek out (or at least seize the opportunity when it presents itself) the person you can meet with to either pour into or draw insight from. We all have busy schedules; and the thought of taking an afternoon to do something that doesn't directly accomplish a task on our todo list is difficult to justify. In the short term, perhaps so; but in the bigger picture, the mutual sharpening from the new friendship will pay off in unseen dividends.

Ask the Lord to show you who you should meet with. Commit to the building the relationship. Share with a posture of open hands and receive with an open mind.



Live Production and Landscape Photography Similarities to Study and Apply

Last night, I watched a video presentation* about landscape photography. There were many great thoughts that I certainly consider beneficial for me to consider as a photographer. Some is a little boring with how basic it is - but always good to remind myself of the fundamentals. Some I knew (and can actually say that I've been attempting to apply) intuitively and is encouraging to me that I've been on the right track. Other ideas totally make sense as I think about them; and leave me itching to test them out...

One of the greatest takeaways is something that I can't help but doing in any field of my artistry: Never settle for a good shot; a great shot is there if you look for it. I know I often can drive my friends and colleagues nuts with my constant unrest as I search for the greatest degree of beauty. It's inherent to my personality and strength mix I think - an "unconscious competency" is a term that may be applied. Well, the presenter spent some time in the middle of the presentation discussing shot composition and I couldn't help but hear brilliant articulation of what I strive for in every artistic discipline I am involved in. Never settle for a good [mix or lighting look, or typeface, or whatever] but keep experimenting through rehearsal and find the great.

I'm often asked (actually more and more, I am blessed to be hired as a consultant for) my thoughts for how I approach production design. If you have been around me for a while, you have probably heard me talk about the "2° and the 2%". I am most concerned with the beginning of an idea - where there's the opportunity to point the concept in the exact direction where I see it having the greatest opportunity of becoming something amazing. This is the vision and the design stage. If you start the project in the right direction, you'll succeed more often than not. 2° of difference in compass bearing may not seem like much in the short term, but it can be miles away from the ideal finish line when it's time to open doors...

I also am charged up by the opportunity to finesse the final tweaks that give the magical touch. This is the 2%. It's the difference between good enough and inspiring; the difference between bland and profound. I'm often cited as having the eye for it. Perhaps I do have a special aptitude for the artistry of seeing what works and where an improvement could be made. However, I believe most of it is my work ethic. I hate settling for less than excellent. Excellence is making the most of our resources. If we have more time to give, we should use it to make the product better.

The analogys of "taking in the scene" and "seeing the light" are so great. We all have the potential to create something amazing. What resources do we have? How can they be focused on to help tell the story that is there? See the potential and figure out the best strategy for highlighting it. Then, never settle for a good [mix or lighting look, or typeface, or whatever] but keep experimenting through rehearsal and find the great.

I was actually running sound last night and one of my students asked me during run-through, "it sounds amazing, why are you continuing to make adjustments?" Two reasons: First, it's live audio; therefore the variables are always changing. The mix engineer has to constantly stay focused on how to best reinforce what's coming from stage. Second, if I'm going to be in the chair during a rehearsal regardless, why settle for a B+ when I could find the tweak that takes it to an A- or perhaps even an A? To me, the idea of settling for mediocrity is detestable. If you're going to be involved, be all there... Anyway, the difference between some of the really good photos and their amazing counterparts are the patience and persistence exhibited by the photographer who is disciplined enough to pursue capturing the epic image that we want to hang on our walls.

I was sitting in the LD seat the other night. While I was operating that night, I was formulating a different blog post in my mind. The past few times I've designed/operated, I've been experimenting with challenging myself to not program a single cue. Instead I set up my profiles well so I can operate where I create each look entirely live… I'll blog further about this at some point, I'm sure. However, the response I received after the night about some of the moments caused me to compose the following:

First, for this set, I went with one of my old favorites - a 60' wide black scrim. It's pretty beat up, but I've learned that if it hangs with texture (5 tie-lines from the grid pulling up bunches of the fabric and letting the rest droop between) it can look pretty good. I went to my go-to bag-of-tricks for the purpose of letting my challenge of operating be my a touch easier:
  • Abstract line gobos strafing across the back traveler from SL and across the scrim from SR - used independently at some moments and together for others.
  • Also for moments of mood setting texture, some gothic window gobos on the back traveler
  • Saturation from LEDbricks lighting the scrim from the US side
  • Also for saturation: 5 of our LED movers placed at the base of each bunch, used at points to sconce the scrim bunches, and others to BL band or shine through haze at times with subtle movement to match the build of a song.
  • Our profile movers were hanging from T-pipes. Most of the night I put the frost-diffusion filter on them and used them as saturation backlight for the band. The final song, I had them switch to a gobo on the build and fan out through haze.
Additional layers light with our Rep Plot:
  • Saturated side-light on the band with LEDs.
  • Gobos back-lighting the band with additional bonus of the look through haze.
  • Our old 250s still living out the end of their life hanging from our apron grid gave me some additional builds with saturation, texture, and movement through haze
Because I was running all my looks live, I didn't really have the opportunity to snap good photos. Here are phone pics: First, the band reprising the walk-out (which except for taking out front-light is really the same look as the end of the final song). Also, a shot of the teaching look.


live production branding as relates to a book

Branding - Stage, Graphics, Video, etc - should always derive from the Story.

The author should never write the book based on the title. The publishing company should design (cover art, paper, typeface, etc.) in the best way to sell the story and enhance the experience of reading…only after the author and editor have crafted a story that can stand on it's own.

We as designers should never create until we've read the script or at least talked with the Producer/Director to fully understand the vision. Depending on our experience/maturity we can (and potentially ought to) be ready with concepts based on what we suspect might work, but only if we can hold loosely to our ideas and evolve them with an open mind to complete change. The number of ideas I have moved to the back pocket is probably more impressive than the portfolio of 2,000ish designs that I've executed. A clever design idea is only a good design idea if it helps tell the story well.

Story trumps all.
